Find and track your invoices

See what you've billed, what's been paid, and what you're still owed.

Tip — To see everything you're still owed, select the Awaiting card. It includes partly paid and overdue invoices.

Open your invoices

  1. In the sidebar, open Accounting.

  2. Select Invoices. The Invoices list page opens.

Find an invoice

  • Search — find an invoice by client name or invoice number (for example INV-202606-265).
  • Select date range — show only invoices between the dates you choose.
  • Column — choose which columns to show, then select Apply. To go back to the default columns, select Reset setting.

Understand the columns

ColumnWhat it shows
IDThe invoice number
ClientWho you've billed
Visits linkedThe visits this invoice was created from, if any
Issue dateThe date the invoice was issued
Due dateWhen payment is due, based on your payment terms
PaidHow much the client has paid
Amount dueHow much is still unpaid
StatusThe invoice's current status
SentA green tick once you've emailed the invoice to the client
  • Visits linked shows the visit number. If there are several visits, it shows how many instead (for example, "2 visits"). Select it to see each linked visit with its date and status. Then select a visit to open it on its job.
  • Sent and Status are separate. Emailing an invoice adds a green tick to Sent. The status changes when the invoice is approved or when a payment is recorded. For example, an approved invoice shows Awaiting even before you send it, and a sent invoice stays Awaiting until it's paid in full.

Open an invoice

  • Select an invoice's row to open it — see View an invoice below.
  • A Draft opens straight into editing — you'll see Update invoice.
  • Long lists are split into pages. Use Previous and Next at the bottom to move between pages. You can also choose how many invoices show on each page: 10, 20, 30, 50, 100 or 200.

Toolbar and row actions

  • + New invoice — bill a client. See Create an invoice.
  • Export — download your invoices as a file for your accountant or your own records.

Good to know

  • Once an invoice is paid in full, it's a final record, so Edit no longer appears in its ⋯ menu on the Invoices list. You can still select Download PDF to keep a copy.
