How invoicing works

An invoice is the bill you send for work you've done. This section shows how a finished job turns into money in your bank account.

Each invoice belongs to a client and lists what you're charging for. Your client gets their own page where they can view the invoice and pay it online.

Tip — You rarely need to fill in an invoice yourself. If you create it from the visits you've completed, HiTradies copies the client, address and prices across for you. See Invoice a job.

The invoicing flow

  1. Finish the work — mark the visit as completed.
  2. Create the invoice — from the job or visit. If the work isn't part of a booked job, create it from scratch. See Create an invoice.
  3. Send it — by email or SMS. See Send an invoice.
  4. Get paid — your client pays online. If they pay you another way, you record the payment yourself. See Record a payment.

Invoice statuses

StatusWhat it means
DraftStarted, but not approved yet
AwaitingApproved, but unpaid or only partly paid
OverduePast its due date and still unpaid or only partly paid
PaidPaid in full

Sent vs. status. Sent is separate from the status. Once you email the invoice to your client, a green tick appears in the Sent column on the Invoices list and a Sent badge appears on the invoice. Sending doesn't change the status — the status only moves when you approve the invoice (Draft to Awaiting) or a payment is recorded. Selecting Approve and email on its own doesn't mark the invoice as sent; it counts as sent only after you select Send email. See Send an invoice.
