Quotes

Why does this quote say Expired?

Its valid-until date has passed, so HiTradies marked it that way on its own. See Quote statuses.

You don't need them to click anything — open the quote and select Mark as approved yourself, from More actions. See Mark a quote as approved.

I sent the quote but my client says it never arrived.

Copy the link instead — More actions > Copy link on the quote — and send it yourself, by text or your own email. See Sending it another way.

My client wants the quote as a PDF.

Download PDF, in More actions on the quote, saves it as a PDF ready to attach or print. See Download a PDF.

I want a quote off my list without deleting it.

There's no delete button for a quote — Archive it instead. It drops off your active list, but the pricing stays on record. See Archive a quote and Quotes are archived, not deleted.

The client said yes — how do I turn it into work?

Convert it. On the Quotes list, select the button on the quote's row, then Convert to a new job — the client and every priced line carry straight across. See Turn a quote into a job.

Jobs and visits

Why does this visit say Overdue?

Its date has passed and it hasn't been marked complete — usually just a case of forgetting, not a fault. Mark it done once the work's finished. See Visit statuses.

I cancelled a visit by mistake.

Cancelling takes effect immediately, with no confirmation window and no undo button. Contact your HiTradies administrator to have it restored. See Cancelling a visit and A cancelled visit can't be undone.

The work is done but the visit still shows as scheduled.

Nothing marks it done for you — select Mark as completed yourself, from the menu on its row. See Marking a visit as completed.

I need to add one more visit to a job already booked.

Open the job, go to its Visits tab, and select New visit — handy when a part didn't turn up or there's something extra to finish off. See Add an extra visit.

My team member hasn't started a job I booked.

Check whether you Assigned it or only Offered it. Offer to sends it out for them to accept first, and it sits as "Pending Offer" until they do. See Schedule & team.

Invoices

Why does this invoice say Overdue?

Its due date has passed and it's still not paid. See Invoice statuses.

The client paid but the invoice still says unpaid.

That only updates itself when they pay through the link on their own copy. If they paid you directly, record it yourself so the invoice catches up. See Mark an invoice as paid.

They only paid part of it.

Record it the same way with the smaller amount received. The invoice becomes Partially paid until you record the rest. See Recording a part payment.

I recorded the wrong payment amount.

Fix it from Payment details, on the payment's row — the pencil edits it, the bin removes it. Removing one asks you to confirm, since it can't be undone. See Fixing a payment.

Clients and team

I can't find a client I know I added.

Try the search box above the list — it matches on client ID, name, phone number, address or email as you type. See Search for a client.

A client I don't work for any more is cluttering my list.

The list only shows Active clients by default, so inactivating one clears it out. It also closes any of their active jobs, and this can't be undone, so make sure you're done with them first. Use the Select status dropdown above the list to see them again. See Inactivate a client.

How do I delete a client?

You can't — HiTradies keeps every client on record instead. See what to do: Clients are inactivated, not deleted.

Why can't I find a team member I know exists?

Try the name exactly as it was entered, or search on phone or email instead. See Team member search is accent-sensitive.

Requests and booking

Where do booking requests actually come from?

From your booking form — shared as a link, or embedded on your own website. Submitting it, either way, is what turns it into a booking request. See Share your booking form.
